Summary:
The Project Coordinator will provide full administrative support to the projects and programmes within the portfolio of projects that are within the remit of the Digital and Technology Operations. Duties will include project administration, reporting, tracking of milestones and stakeholder engagement and requires strong attention to detail, adhere to strict processes and ensure smooth delivery of all projects in conjunction with delivery teams.
Responsibilities:
Responsibilities: * Booking meeting rooms and required resources (laptops etc). * Drafting materials to support workshops, meetings and Steering Groups; producing minutes and actions as output. * Booking of travel arrangements. * Maintaining team holiday charts. * Collating team information (e.g. contact details, etc). * Developing and maintaining project document repositories and documentation standards (templates). * On- and off-boarding permanent team members and contractors; providing baseline collateral to help mobilization. * Supporting the development and maintenance of project / programme plans. * Facilitating planning sessions * Updating the plan from the outcome of the planning sessions * Maintaining the plan * Reporting progress against the current ntaining key project controls. * Managing issues and initiating corrective action as appropriate. * Managing risk logs, dependency logs and any other project / programme controls * Supporting the change management process. * Supporting project communications * Communicating with business stakeholders to agreed communication plans * Managing internal communications and reporting
Qualifications:
Qualifications: * Experience of working in IT/Business/Publishing * Experience of working in project support and coordinating role, in small to medium-sized cross-functional teams * Proven track record of project administration. Skills: * Strong organization skills * Diligent attention to detail * Ability to communicate and interact well with people * Ability to organize tasks in a logical and efficient manner * Self organizing and self-motivation and management * Strong time management * Ability to multi-task and make appropriate calls on prioritization.
