Position Description

Egencia Canada, the corporate travel division of Expedia, Inc is seeking an Office Coordinator to ensure the smooth running of the Mississauga office as well as to provide administrative support to the various departments in the office. This position will suit someone who is dynamic, autonomous and able to multi-task while still completing routine tasks with little direction.

The following describes some of the current duties of the role. If you can excel in these and also prove your ability to successfully manage assigned special projects, then you can look forward to a role that keeps on expanding. We are a growing hands-on organization so there is lots of scope for growth within this role.

Facilities and IT co-ordination

- Primary contact for all facility related issues

- Management of all office supplies purchasing

- Liaise with Technical Support for technical equipment such as computers, cell phones and blackberries

- Responsible for vendor liaison and invoice processing

Business Services

- Ensure successful shipping and receiving of packages

- Ordering of all supplies

- Maintaining organization of supply room, conf rooms and all common areas

- Maintain office email distribution lists including adding new employees

- Provide administrative support to visitors to the office (assist them with directions, hotel choices etc, meeting scheduling etc)

- Maintain up to date Emergency Contact information list with work, home and cell numbers

- Organize meetings, special events, etc.

Administrative support to Account Management, Operations and Meetings and Incentives

- Manage client reports

- Utilize databases to assist with client management and communications

- Liaison with hotels

- Ticket distribution

- Assist M&I team in preparating events (package assembly, mailing preparation & sending, brochure assembly & sending, administrative tasks, ...)

Administrative support to the Egencia Canada & Egencuia M&I Management Teams

- Planning travel and preparing expense reports

- Planning and execution of all-office meetings

- Preparation of documents, letters, and various presentations

- Other duties as assigned

What you can bring to the team…

- Previous experience in an administrative or office co-ordination or business role working for multiple stakeholders

- Able to work independently with the ability to prioritize effectively

- A sense of initiative combined with an ability to execute and produce results

- Extremely strong organizational skills with excellent attention to detail

- Excellent communication skills and customer service attitude

- Dynamic and motivated with a desire for varied work

- A high degree of professionalism and discretion

- In-depth knowledge of Microsoft Office tools (Word, Excel and PowerPoint) and e-mail communication

- Flexibility to be present on variable schedules to accommodate certain situations (fixed hours perferably Mon-Fri 9am-2pm)
