Essential Job Functions
Primary duties of this role will include planning, coordination and on-site event logistics for all HMS events (approximately 40-45 in total), and that will involve interfacing directly with hotels, third party resources, audio/visual technicians, transportation companies, etc.
Manage all HMS trade show assets, both onsite and offsite, a process which includes maintaining and updating an online asset management system for warehoused inventory.
Confirmation of attendees, hotel space, room size, A/V, and distribution of relevant materials
Support internal communications to sales team and other event attendees including presenters
Maintain project plans for event
Help with the brainstorming and establishment of unique additions to all events (HMS giveaways, offsite activities and dinners)
Book and secure hotels, maintain offsite vendor relationships, generate purchase orders, track all invoices and expenses against budget
Research and keep abreast of timetables for upcoming, non-committed shows in 2013 and beyond, including abstract submission, early bird, and exhibitor deadlines. Other related administrative functions
Requirements:
Skills/Requirements
Bachelor’s degree in marketing, business, communications, or a related field is preferred
At least 1-3 years of progressive work experience related to event planning or executive administration
Strong organizational skills and keen attention to detail a must
Ability to independently manage projects on tight deadlines
Excellent written and verbal communication skills and the ability to effectively consult with all levels of an organization
Computer skills, primarily Microsoft Word, Excel and PowerPoint
Ability to take initiative and manage multiple projects simultaneously
Multi-task on numerous events and off-sites while maintaining flawless accuracy, oversight and execution
