Job Description
SUMMARY:
The Document Integrity Manager is responsible for the physical and financial integrity, safe keeping and organization of the Company's Tower Division operational library and for ensuring that there are ongoing comprehensive audits performed of legacy data relating to the Company's towers. The incumbent oversees staff responsible for ensuring that all electronically saved documents are accurate and complete, ensuring all documents are kept within the library and are properly filed and easily accessible and forconducting ongoing comprehensive audits performed of legacy data relating to the Company's towers. The Document Integrity Manager manages employee performance through regular review of standard productivity and quality metrics. The incumbent drives process improvements identified by the team to improve the accuracy and integrity of American Tower's lease data.
Job Requirements ESSENTIAL FUNCTIONS:
* Manage staff to ensure all file requests from employees within American Tower and for external audits are processed within specified time frame either through physical delivery or by providing access to all documents on-line (virtual).
* Manage staff to ensure that all documents coming into the library are reviewed against electronically saved document and then if applicable, filed in folders as kept by state and tower.
* Manage staff to ensure that there is ongoing physical and financial audit work being completed on the Company's towers to improve the accuracy of landlord disbursements and tenant billings.
* Lead the review and rework of Document Integrity policies, procedures and controls and establish procedures to maximize efficiency in document review and retention in compliance with SOX.
* Ensure that all document access is in compliance with prevailing company policy with regards to security, usage timelines and record retention.
* Ensure that team updates the Oasis File Manager and Document Manager databases on a daily basis for site, legal and tenant contract files that are checked out and returned to the library and for all confirmations on audit of scanned documents.
* Support testing of straight-line rent calculations to validate integrity of financials.
* Execute value added operational analysis primarily error trend analysis.
* Identify and implement process improvement opportunities.
* Identify and implement system optimization opportunities geared toward leveraging the efforts of the team.
* Interact with internal and external auditors and participate in occasional auditing projects or provide information and access to accounting records as required.
* Participate in the development and management of annual operating budgets for the Document Integrity department. Monitor spending for adherence to budget, recommend variances as necessary.
* Train and evaluates employees to enhance their performance, development and work product. Address performance issues and make recommendations for personnel actions. Motivate and recognize employees.

* Other duties as assigned. SUPERVISORY RESPONSIBILITIES:
* Supervise and manage the performance of a Document Integrity Supervisor (Supervisor has team of Data Integrity Specialists and Senior Data Integrity Coordinator), Document Coordinators and Document Specialists.

* Strong computer skills including Microsoft Office suite database systems such as Oracle EDUCATION AND EXPERIENCE: * Bachelor's degree required preferably with legal background or business administration
* Minimum 3 years supervisory experience required with a team of five or more
* Minimum 3 years audit or lease review experience in a moderate to large commercial real estate company or wireless provider required.
* Minimum 2 years experience with database systems, preferable Oracle
* Experience in a legal library environment preferred
* Experience in an audit environment preferred
* Experience with project management preferred
* Working knowledge of the operations of the wireless and telecommunications industry's business practices preferred
* Working knowledge of contracts and general contract law preferred
* Working knowledge of standard accounting practices preferred ENVIRONMENT:
100% performed in climate-controlled internal office environment working under normal office conditions. Approximately 0-5% travel to off-site storage facilities will be required in support of the position's responsibilities.
