Clearance Coordinator- The Rosie Show
Process producers' requests for use of all third party materials in The Rosie Show episodes for promo use in connection with broadcasts and online. Responsibilities: Gather all relevant information from producers, associate producers, production assistants and promotions producers about material requested for a show or other production (including ascertaining timing and context of use). Responsible for putting request in writing and sending the request by faxes or email to the relevant licensor of materials. Conduct research to determine all ownership interests in third party materials and making sure that all relevant owners are contacted for permission to use materials. Execute licensing (Draft, fax and execute license agreements. If we use licensors agreement, I have agreement signed by attorney) Make follow-up phone calls to check on the status of requests/agreements. Follow-up with potential licensors, informing them that their materials were not incorporated into particular shows and thanking them for their quick response to our request. Screen the show in the control room and/or show tapes and follow-up with licensors, producers and promotions producers to confirm that our use was consistent with the requests. Process follow-up reports. Post credits for the show Negotiate terms and fees for use of 3rd party materials Report usage to licensors so that they can forward invoice for payment Inform other departments within Harpo, specifically promos, on-line and home video) if 3rd party materials are available to them for use in their respective media Advise editors and/or producers working on shows that are about to air about credits and/or potential problems pertaining to use of 3rd party materials Acquire guest and talent releases the day of the taping (or prior to the taping via fax) Assist licensors with delayed payment (follow up on their behalf) Assist Attorneys in acquiring any documents they need for substantiation for each respective show Finalize and organize legal files Provide contact info from legal files to the producers Report models, backup singers, dancers and musicians to accounting for process of payment Serve as a backup to music clearances
