We are currently seeking an Administrative/Development Assistant to perform a wide range of administrative, communication, and logistical services in support of the President, Campaign Manager and Development Associate. Essential Functions: Administrative and Logistical Services: ? Ensures a smooth and effective flow of communication and operations throughout the Presidents Office by responding to telephone inquiries and staff inquiries on a wide range of issues, and following-up and updating the President on the status of designated tasks and projects ? Coordinates and maintains the Presidents schedule and calendar ? Coordinates and facilitates meetings for the President and Campaign Manager by: - sending invitations - ensuring all equipment needed is available and functioning properly - organizing meeting logistics and arrangements - preparing and distributing meeting agenda, minutes, reports, and presentation materials ? Coordinates travel arrangements for the President and Campaign Manager, informs appropriate parties of Presidents and Campaign Managers travel itinerary ? Prepares expense reports ? Maintains organized computer file and hard copy filing systems ? Composes letters, updates rosters, orders supplies, orders lunch for meetings, runs errands ? Retrieves and opens mail, and logs checks ? Checks info line ? Other administrative duties as assigned Capital Campaign/Development: ? Assists with member/donor/prospect events and mailings ? Coordinates and schedules prospect presentations ? Conducts prospect research ? Prepares all presentation materials ? Assists in the coordination of general donor relations activities ? Inputs all donor and prospect information into Raisers Edge -- maintains database routinely and as requested ? Writes thank you, follow up, and pledge reminder letters to donors/prospects ? Write proposals ? Assists Board teams with events ? Responsible for entering all gifts into Raisers Edge ? Responsible for drafting all acknowledgement letters and ensuring they go out in a timely manner ? Runs queries and pulls lists from Raisers Edge ? Ensures all prospect information is recorded accurately by entering all actions, meetings, phone calls, emails, and mailings in Raisers Edge ? Responsible for keeping track of the pledge payment schedule and drafting all pledge reminders ? Tracks all RSVPs for donor events and other events as assigned ? Distributes comp tickets for prospects when needed ? Assists with grassroots fundraising activities ? Tracks all development department spending on excel sheet ? Regularly creates picture sheets and update reports on museum happenings for board members and donors ? Other development duties as assigned Additional Qualifications: ? Experience/Training/Education: - Bachelors Degree in job-related field - minimum 2-3 years of administrative duties in a development department ? Knowledge/Skills/Abilities: - strong analytical and organizational skills with the ability to deal with numerous priorities simultaneously - sound decision-making and excellent problem solving skills - demonstrated ability to understand and follow instructions and carefully review work for accuracy - excellent written & verbal communications, and strong presentation skills required - ability to take initiative and enthusiastic in facing new challenges - ability to handle sensitive information with integrity and maintain a high level of confidentiality - high level of proficiency with computer equipment, Microsoft Office, Power Point, Outlook, Wealth Engine and donor database software - proficiency in Raisers Edge software required - ability to work cooperatively with staff, management, vendors Category: PR & Advertising
