This position will provide support for accounting functions in the areas of royalties and other various accounting tasks that will include analyses and reconciliation's, calculation and payment of royalties for all frequencies, manage royalty statement distributions, providing customer service to authors, filing 1099's and maintaining compliance with W8 requirements of foreign authors, preparing simple reports related to workflow, communication with client departments, compliance with accounting and administrative controls.
Responsibilities and duties:
. Knowledge of contract terms, system functions, company policies and procedures.
. Interface with all company departments--editorial, marketing/sales, customer service, MIS and accounting.
. Acquisition integration.
. Monitoring of sales and royalty systems for accuracy, contract compliance, etc.
. Approve author advance payment vouchers.
. Estate correspondence/paperwork and coordination with Editorial Administration for system updating.
. Approval of royalty edits (new books and contract amendments) and correction of entry errors. Update AP vendor table and 1099 requirements.
. Train and indirectly supervise Junior Accountant for Royalty account set up, book purchase transfers and Subrights.
. Manual royalty calculation and reporting (Authors 4 Teens, NTLF, UDMD, ICUD, Folio, EEE, JAAF, Hornbook.) and Monthly Royalty Accruals and Advance adjustment journal entries.
. Special sale and book club sales review for compliance to terms and royalty calculations if needed.
. Author inquiries-sales/royalty information, questions on statements, assist with the understanding of contract terms, and referrals on who to speak with concerning editorial or marketing questions.
. Royalty reporting coordination of in house and external mailing processes for all divisions. We have 21,000+ royalty accounts with various reporting periods.
. Oversee subsidiary rights application to royalties, address changes and author book purchases.
. IRS/tax compliance. (see below)
. Assist with annual Reed Elsevier report of royalty payments/receipts US vs. various foreign countries.
. Trainer for Global/royalties and AP.
. Cancelled/out of print titles: review for advance balances, remove cancelled records.
Requirements The ideal candidate will have a minimum of 4-5 years royalty accounting experience and BS/BBA degree in accounting/finance. A basic understanding of US GAAP is preferred. Proficiency with Excel and Word and other Microsoft products is strongly preferred. The candidate must also have excellent written and oral communications skills, strong organization skills and be flexible in an evolving business environment.
